Position: Administrative Officer

We are seeking a proactive and organised Administrative Officer to support our team in the [insert department, e.g. Children and Families] service stream, ensuring efficient office and operational processes.
📋 Key Responsibilities

Manage incoming communications (phones, emails, post) and provide timely responses or appropriate referrals.

Maintain and file both digital and paper records, ensuring compliance with data protection and confidentiality standards.

Provide comprehensive administrative support for meetings: preparing agendas, collating documentation, taking minutes, arranging logistics, and distributing reports.

Coordinate diaries and schedules; organise travel, accommodation, and meeting rooms.

Process invoices, purchase orders, and reconcile expense claims in line with council financial procedures.

Assist with the preparation and analysis of reports/statistics to support performance monitoring.

Act as a helpful point of contact for internal and external stakeholders, including councillors, service users, and partner agencies.

Deliver high-quality customer service through face-to-face, phone, email, and online channels.

Support additional ad-hoc administrative duties as required.
✅ Essential Qualifications & Experience

GCSEs or equivalent at Grade C/4 or above (including English and Maths).

Proven experience in an administrative or customer service role.

Strong IT skills—proficient in Microsoft Office (Outlook, Word, Excel, Teams) and confident using standard office equipment.

Excellent written and verbal communication skills.

High level of organisational ability with strong attention to detail.

Ability to manage competing priorities and meet deadlines.

Discretion and ability to handle sensitive or confidential information.
🎓 Desirable Attributes

Experience working in a local authority or public-sector organisation.

Knowledge of case-file management systems.

Strong numeracy skills and experience processing financial transactions.
